Patients Register
The Patients Register is the central repository for managing patient records within the system. It provides structured fields for capturing essential patient information, supports global search across key attributes, and allows filtering and actions directly from the patient list.
Creating a Patient
When registering a new patient, the following fields are required:
- First Name – Patient’s given name
- Last Name – Patient’s family name
- Sex – Must be selected from:
Male,Female, orOther - Date of Birth – Cannot be a future date. Used to calculate patient age
- Phone Number – Primary contact number
Optional fields include:
- National ID Number
- Email Address
- Address
- Emergency Contact
- Notes
- Active Patient toggle
WARNING
Before creating a new patient, it is advisable to first search using either the search box on the patients table of the global search in the top right corner of the screen. Patients can be searched using First Name, Last Name, Phone Number, Emergency Contant and the Medical Record Number(MRN)
Search results are displayed in patients listing table including MRN, first name, last name, gender, date of birth, emergency contact and phone number.
Patients Listing Table Overview
The Patients Register table provides sortable and searchable columns for:
- Medical Record Number (MRN)
- First Name
- Last Name
- Gender
- Date of Birth
- National ID Number (NIN)
- Phone Number
- Emergency Contact
- Email Address
- Active Status
- Record timestamps (Created, Updated, Deleted)
The table has other hidden columns that can be toggled to display by clicking on the icon next to the funnel icon and then checking the boxes to enable each hidden column.
Filters
The table supports filters to refine patient records and to use them, click on the funnel icon next to the search input to bring up the filters menu. The menu has alot of options listed below.
Quick Range – This helps to get patients registered today, last seven days, last thirty days, this month and then this year.
From Filter - This filter allows you to select a
from dateand then clinika will return all patients registered from thatselected dateto thecurrent date.To Filter - This filter allows you to select a to date and then clinika will return all patients registered between the
from dateand theto dateselected on the calendar.Trashed Filter – This allows clinika to pick all soft-deleted patient records from the database and administrators can either restore them or force delete them
Actions
From the patient list table, you can click Select Action button to perform the following actions:
- View Patient – Inspect full details
- Edit Patient – Update patient information
- Delete Patient – Soft delete a record
- Create Visit – Start a new visit linked to the patient
- Book Appointment – Schedule an appointment for the patient
- Create Invoice – Generate billing records tied to the patient
Bulk actions are also available for deleting, force deleting, or restoring multiple records at once.

This actions listed are displayed according to the role and permissions assigned to you by the administrator
DANGER
Delete and Force delete are destructing actions, please use them sparingly as these will also delete related records from the database as well. Please use them only when they matter.
